How to Use Conditional Formatting in Rows

Learn how to highlight cells in Rows using conditional formatting based on text, numbers, or dates to make your data easier to scan and analyze.

Conditional formatting in Rows lets you automatically style cells based on their values. This is useful for quickly spotting trends, flagging issues, or just making your data more readable.

How to Apply Conditional Formatting

  1. Select the range you want to format.
  2. From the format bar, go to Styles > Conditional formatting
  3. Choose a condition from the If cell value dropdown and enter a value (if required)
  4. Select the text and background color options from the preset or click on the + icon to choose custom colors
  5. Finally, click on the Add rule button

How to Edit or Remove Rules

Navigate to the conditional formatting panel and click the condition to edit it or the bin icon to remove the rule —

Tips

  • You can combine multiple rules to handle different scenarios in the same column (e.g. red for overdue, green for completed).
  • Rows applies rules from top to bottom and only the first matching rule is applied.
    • To change which rule takes precedence, simply drag and reorder the rules in the Conditional Formatting panel.
